How to Automatically Sync Panellists Across Projects

Introduction

Sometimes a project is used to invite panellists to book appointments, while the same panellists also need to appear in other related projects. Normally, panel managers must add or remove panellists manually in each project.

The Sync Panel Across Project(s) feature allows panellists who book or cancel an appointment in an Invitation Project to be automatically added to or removed from selected linked projects. This helps keep panel lists aligned across related projects.

Before You Begin

Before using this feature:

  • Appointment scheduling must be enabled in the project.

  • Allow Panel Sync Across Projects must be enabled in your environment (contact support@eyequestion.nl if you want to enable the feature)

  • The projects you want to link must be created.

Enable Panel Sync

  1. Open the project that will act as the Invitation Project.

  2. Go to Distribution > Panel.

  3. Open the Appointment tab.

  4. Enable Sync Panel Across Project(s).

Select Linked Projects

After enabling the option, choose the projects that should receive panellists automatically.

You can select:

  • undeployed projects

  • deployed projects (with or without data)

You cannot select:

  • archived projects

  • closed projects

  • finalized projects

  • the current project

Projects are displayed and sorted by Project Number + Project Name, and can be searched by project number or name.

To add a project:

  1. Select it from the dropdown.

  2. Click + to add it to the list.


How Synchronization Works

When a panellist books an appointment in a project with Panel Sync enabled:

  • the panellist is added to the Panel tab of the selected projects

  • the panellist is added with Status = New

  • the Source field shows Invitation Project

Appointment Changes

If a panellist updates their appointment

  • the panellist remains in the linked projects.

If a panellist cancels their appointment

  • if their status in the linked project is New, they are removed

  • if their status is different, they remain in the project.

If the panel manager cancels the appointment or timeslot

  • the panellist is removed from the linked projects.

Special Cases

Panellist already exists in a linked project

  • synchronization does not occur for that panellist.

Panellist manually removed from a linked project

  • synchronization stops for that panellist and project

  • they will only be added again if they book a new appointment in the Invitation Project.

Important Notes

  • The feature cannot be changed once appointments exist in the project.

  • The option can only be turned off when no linked projects are selected.
